Covid 19 Working from homeThe COVID-19 outbreak has closed schools and many offices in Ireland. Working from home has gone from being a privilege to being almost mandatory.

Educational bodies especially have a tremendous responsibility in trying to make sure school activities continue as best as possible.

Enabling teachers and principals to work from home is one way of ensuring an as normal as possible way of keeping schooling activites running.

One tool that is proving very useful is Google Classrooms.

Google Classroom is a free web service, developed by Google for schools, that aims to simplify creating, distributing, and grading assignments in a paperless way. The primary purpose of Google Classroom is to streamline the process of sharing files between teachers and students.

Google Classroom combines Google Drive for assignment creation and distribution, Google DocsSheets and Slides for writing, Gmail for communication, and Google Calendar for scheduling. Students can be invited to join a class through a private code, or automatically imported from a school domain. Each class creates a separate folder in the respective user’s Drive, where the student can submit work to be graded by a teacher. Mobile apps, available for iOS and Android devices, let users take photos and attach to assignments, share files from other apps, and access information offline. Teachers can monitor the progress for each student, and after being graded, teachers can return work along with comments.

Google Classrooms and  G Suite for Education

Google Classroom is a tool present in any Gmail account. You do not need G suite for Education set up in order to use it, but if you need to have students and create classrooms with those students then it is mandatory that you use G suite for Education.

As you access Google Classrooms for the first time from a Gmail account you will be presented with  a dialog box asking if you’re planning on using Google Classroom at a school with students. Google Classroom requires schools to use G Suite for Education if their teachers plan to use it in their actual classrooms. This provides teachers and students with more privacy and security measures. If you’re using Google Classroom for your own personal use, you won’t need to worry about this.

So, if you are using it for a school, it greatly helps having G Suite up and running to exploit its unlimited storage. As Google Classroom relies heavily on Google Drive, having unlimites space is extremely helpful if you are trying to get tens of students to share resources from home on a single Google Drive.

How can North Star Computers help

We can help your school set up G Suite for Education. It is a simple process, but to minimise the time it takes, you will have to follow some steps – outlined below –  and have certain technical information readily available.

  1. You need a domain name for your school
  2. If you already have a domain name for your school you need to have full unrestricted access to the control panel of the hosting account as changes will need to be made to the DNS zones for your domain. Some companies that provided your school with a domain name cannot give you full access to the control panel but they must be able to implement those changes for you
  3. You need to register for G suite Education with Google
  4. Once registered, at least at the time of this article being written, Google insists on a 14 day period during which you can only use 10 email addresses. Whether Google will waive this period given the urgency for schools to use these tools remains to be seen.
  5. After the trial period has ended Google will send you an email asking to verify the school on www.education.ie . Once that is done, in a day or two you will receive a welcome email and the service will be in full ussage mode. You will be able to add as many email addresses as you need for your school
